Project Coordinator:

Accountabilities/Responsibilities
• Partner with Project Manager and GMALs in support of project delivery
• Build and/or maintain systems and platforms as needed (Superfly, Sharepoint, Workplace, Cybergrants, etc.)
• Support Global Medical Team (GMT) meetings: agenda, facilitation, minutes
• Franchise Meeting management: agenda, facilitation, minutes
• Assist in Franchise Medical OBU Budget & Finances: support annual budget planning, reporting and reviews, PO creation and management, track invoices and expenditures
• Project leadership for franchise (special projects, congress support, steering committees, speaker forums, etc.)
• Provide slide deck support to teams
• Manage and ensure timely submission of the Monthly Activity Reports (MARs)
• Collate input from the Franchise Medical Leadership Team, e.g. congress planning, publication plans, etc.
• Ensure efficient, seamless planning and execution of key projects
• Support Franchise team with the internal communication activities
• Provide guidance on the processes and ensure compliance requirements are met
• Identify areas for operational efficiency/excellence, streamline process and simplify the ways of working
• Liaise with stakeholders to ensure cross-Franchise and cross-functional visibility

Required Skills & Experience:
• Bachelor’s Degrees or equivalent
• 1-2 years of project support experience
• Thorough knowledge of MS Office (Outlook, Excel, Word, PowerPoint)
• Fluency in English with excellent written and verbal communications skills
• Good team working skills that include collaborations, willingness to learn from others and flexible approach to changing requirements
• Ability to work independently under the governances of senior colleagues within policies and SOPs
• Attention to detail
• Positive and professional attitude in contact with internal and external stakeholders


Preferred Skills & Experience:
• Experience in Pharmaceutical industry
• Experience of effective working in global, multi-cultural, matrixed environment across different time zones
• Experience using PM tools and programs (e.g. Smartsheets) as well as systems and platforms (e.g. Sharepoint, MS Teams, SmartLab, etc.)
